Data Protection Regulation

CHAPTER 1

FOREWORD

The present document is aimed at regulating and specifying the regular conduct of the Association's activity. All Associates are required to respect it, in compliance with the Association's Statute and Regulation. Full compliance with this Regulation is part of the respect and transparency of the associative activities.

In addition to what provided by the law, by the Statute and by the Regulation of the Association, each member of the Association is prohibited from divulging the content of the planning, the strategies and the future prospects of this document to third parties, as well as replicating and establishing identical or similar activities outside the Association.

The members of the Association must also verify the correct observance of this Regulation by all the Associates and/or former members of the Association. Whenever an activity that has been already carried out by the Association or that has been conceived within the Association is replicated outside it or is individually set up outside the Association for the achievement of personal purposes and objectives, Mondo Internazionale reserves the right to take all the necessary measures to ensure the compliance with this Regulation.

The classification of confidentiality has been divided into three related bands:

(A) High level – all the Associates who work with highly confidential and risky documents, such as documents relating to the Steering Committee, the Presidency, the Strategic Planning and the Treasury. They all must respect the Regulation and the Statute of the Association.

(B) Medium level – all the Associates who must comply with the Regulation and the Statute of the Association, but who do not have access to all the highly confidential documents;

(C) Low level – all the Associates who must comply with the Regulation and the Statute of the Association.

CHAPTER 2

Article 1

PRESIDENT

Given the provision of Art. 1 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the President is of High Level (A).

The President has a High Level position, as he/she shall:

  1. maintain contacts with public and private entities, including institutions, international organisations, the supporters of the Association Mondo Internazionale and of the volunteer activities, since he/she is legal representative of the Association and is responsible for protecting the image of the Association;
  2. maintain contacts with all the entities indicated in paragraph 1, Article 1 – the list shall be intended as esemplificative and non-exhaustive, so that the President is able to freely divulgate the associative materials, in compliance with the Association’s Statute and Regulation.
  3. maintain contacts with all the members of the Association. All the problems of the Associates shall be addressed to the President, so that he/she will be able to intervene promptly. If the President is not in the position to intervene, he/she shall be considered extraneous to the facts;
  4. act autonomously but in constant contact with the entire Association and external entities;
  5. be aware of all the Associate’s personal data documentations, their situation and any possible problem deemed sensitive by the Associates themselves. In the latter case, together with the Vice-President, he/she may be the only one informed of the facts. The President has the duty to not disclose personal data and/or confidences of the Associates to third parties outside the Steering Committee or outside those directly interested.

Article 2

VICE PRESIDENT

Given the provision of Art. 2 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice President is of High Level (A).

The Vice President has a High Level position, as he/she shall:

  1. maintain direct contacts with the Presidency, especially if he/she is replacing the President;
  2. maintain direct contacts with the Steering Committee in order to ensure the balance of the body and to verify its correct functioning;
    - maintain contacts with all members of the Association so to verify the proper conduct of the Association’s activities and to be able to directly and promptly intervene;
    - maintain contacts with public and private entities, including institutions, international organisations, the supporters of the Association Mondo Internazionale and of the volunteer activities, since he/she is legal representative of the Association and is responsible for protecting the image of the Association;
  3. act autonomously but in constant contact with the entire Association and external entities;
  4. be aware of all the Associate’s personal data documentations, their situation and any possible problem deemed sensitive by the Associates themselves. In the latter case, together with the President, he/she may be the only one informed of the facts. The President has the duty to not disclose personal data and/or confidences of the Associates to third parties outside the Steering Committee or of those directly interested.

Article 3

SECRETARY GENERAL

Given the provision of Art. 3 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Secretary General is of High Level (A).

The Secretary General has a High Level position, as he/she shall:

  1. maintain contacts with the Secretariat as well as with the Steering Committee, to which he/she provides scenarios on the future of the Association and on the development strategies, and to which he/she proposes the Annual Plan and Three-Year Plan according to the strategy of the Director of the Planning, Business Plan and Euro-Planning Team;
  2. maintain contacts with public and private entities, including institutions, international organisations, the supporters of the Association Mondo Internazionale and of the volunteer activities;
  3. have access to all the Association’s documents, the Bank Account and the IT and non-IT systems, excluding the server and the domain;
  4. act autonomously but in constant contact with the Presidency, the Steering Committee and the entire Secretariat.

Article 4

GENERAL DIRECTOR

Given the provision of Art. 4 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the General Director is of High Level (A).

The General Director has a High Level position, as he/she shall:

  1. maintain contacts with the entire Association in order to direct the Associate members, the work plans and the related budgets, the activities of the offices and their organisation and administrative activities;
  2. maintain contacts with the external entities for the planning of the Association’s activities in national and international meetings and for the stipulation of agreements relating to individual projects, with the joint signature of the Secretary General;
  3. have access, with the Secretary General’s authorisation, to all the staff’s documents, software, IT and non-IT programs in manager mode, to the bank account, the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association, for the carrying out of the Association’s activities. The permanent allowed accesses include all the documents at the legal and/or operational headquarters which concern the management of the staff, the bank account and the IT and non-IT systems, excluding the server and the domain;
  4. act autonomously with the approval of the Secretary General and of the Steering Committee.

Article 5

CHIEF OPERATION OFFICER

Given the provision of Art. 5 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Chief Operation Officer is of High Level (A).

The Chief Operation Officer has a High Level position, as he/she shall:

  1. maintain contacts with the entire Association, including both national and international headquarters, so to direct the blog activities, the translation activities, the social media activities, the sponsorship and merchandising activities, and the proofreading activities;
  2. maintain contacts with the external entities for the stipulation of agreements for individual activities, with the joint signature of the Secretary General;
  3. have access, with the Secretary General’s authorisation, to all the documents of the staff and of the single activities, to the IT and non-IT programs in manager mode, to the bank account, to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association, for the carrying out of the Association’s activities. The permanent allowed accesses include all the documents at the legal and/or operational headquarters which concern the management of the staff, the bank account and the IT and non-IT systems, excluding the server and the domain;
  4. act autonomously with the Secretary General's approval.

Article 6

TREASURER

Given the provision of Art. 6 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Treasurer is of High Level (A).

The Treasurer has a High Level position, as he/she shall:

  1. maintain direct contacts with the Steering Committee, to which he/she communicates the incomes and outcomes of the Association, so to avoid the risk of resorting in the short term to financing that are greater than expected. Furthermore, he/she shall also propose and implement the Association's monetary policies, with the approval of the Secretary General and the President, and define the annual and quarterly financial plan;
  2. have access to all the economic-financial documents, to the bank account and to the IT and non-IT systems relating to the Association's economic-financial activities. Furthermore, he/she can interact with credit and financial institutions, and with the Accountant identified by the Steering Committee.

Article 7

DIRECTOR OF THE SECRETARY AND COORDINATION TEAM

Given the provision of Art. 7 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Director of the Secretary and Coordination Team is of High Level (A).

The Director of the Secretary and Coordination Team has a High Level position, as he/she shall:

  1. maintain contacts with the Presidency for the management of the activities, the agenda and the organ’s documents;
  2. maintain contacts with the Steering Committee, drawing up the minutes of this body and coordinating its activities;
  3. maintain contacts with the entire Association, for the purpose of archiving and managing the documents of the staff and the members of the Association, as well as with the external bodies, so to archive and manage the documents relating to the collaborations and agreements entered into by the Association;
  4. have access, with the President’s authorisation, to all the Association’s documents, to the software, to the IT and non-IT programs useful for carrying out his/her activities in admin mode, to the bank account, to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association, for the carrying out of the Association’s activities. The permanent allowed accesses include all the documents at the legal and/or operational headquarters, the bank account and the IT and non-IT systems aimed at carrying out the Association's activities;
  5. act autonomously with the Presidency's approval.

Article 8

WEBMASTER

Given the provision of Art. 8 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Webmaster is of Medium Level (B).

The Webmaster has a Medium Level position, as he/she shall:

  1. maintain contacts with the Secretary General, with the Steering Committee's approval, so to better performs his/her own activities;
  2. have access, with the authorisation of the President or in his place of the Vice President, to all the Association’s IT documents, software and computer programs useful for carrying out his/her activities in admin mode. The permanent allowed accesses include the IT systems aimed at carrying out the Association’s activities;
  3. act always with the approval of the Secretary General and the Steering Committee.

Article 9

PROJECT MANAGER

Given the provision of Art. 9 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Project Manager and of the Vice Project Manager is of Low Level (C).

The Project Manager has a Low Level position, as he/she shall:

  1. maintain contacts with the General Director in order to coordinate the activities of his/her project;
  2. maintain contacts with the managers of other projects in order to collaborate and create synergies between the different projects;
  3. have access to the documents pertaining his/her project that he/she can change only with the General Director's approval;
  4. act with the General Director's approval.

Article 10

VICE PROJECT MANAGER

Given the provision of Art. 10 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Project Manager and of the Vice Project Manager is of Low Level (C).

The Vice Project Manager has a Low Level Position, as he/she shall:

  1. maintain contacts only with the Project Manager, on whom he/she depends for all the activities of the assigned project. One of the two Vice Project Manager shall replace the Project Manager in his/her absence;
  2. have access to the documents pertaining his/her project that he/she can change only with the General Director's approval;
  3. act with the Project Manager's approval.

Article 11

EXTERNAL RELATIONS TEAM

Given the provision of Art. 11 of Chapter 1 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the External Relations Team is of Medium Level (B).

The Members of the External Relations Team have a Medium Level position, as they shall:

  1. maintain contacts with third parties, in case of requests for collaborations, with the prior approval of the President, the Vice President and/or the Steering Committee of the Association;
  2. maintain contacts with possible stakeholders with which the Association can collaborate, while taking care of the image of the Association and of the relationships they maintain with the third parties with which the Association collaborates;
  3. disclose Association’s materials, only with the approval of the President, the Vice President and/or the Steering Committee of the Association.

Article 12

SECRETARY AND COORDINATION TEAM

Given the provision of Art. 12 of Chapter 2 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Secretary and Coordination Team is of High Level (A).

The Members of Secretary and Coordination Team have a High Level position, as they shall:

  1. maintain contacts with external agencies, in case of requests for collaborations, with the prior authorisation of the President, the Vice President and/or the Steering Committee of the Association;
  2. maintain contacts with the entire Association in order to coordinate and organise all the activities, while verifying the correct progress of the projects and of the collaborations;
  3. maintain contacts with individuals who request information about the Association or who request to join the Association, while dealing with the memberships and their renewals;
  4. disclose associative materials, only with the approval of the President, the Vice President and/or the Steering Committee of the Association;
  5. act with the approval of the Presidency and of the Steering Committee.

Article 13

VICE DIRECTOR OF THE SECRETARY AND COORDINATION TEAM

Given the provision of Art. 13 of Chapter 2 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Director of Secretary and Coordination Team is of High Level (A).

The Vice Director of the Secretary and Coordination Team has a High Level position, as he/she shall:

  1. maintain contacts with the Director of the Secretary and Coordination Team as well as with the Secretary General, as he/she is the coordinator of the Secretary of the Secretary General with the permanent delegation of the Director of the Secretary and Coordination Team;
  2. maintain contacts with the Secretariat in order to coordinate its activities and with the Steering Committee in order to draft the minutes of its meetings in the absence of the Director of the Secretary and Coordination Team;
  3. have access, with the President's authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in member/manager mode; to the Association’s legal and/or operational headquarters and to any movable and immovable property, for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's Secretariat activities;
  4. act with the approval of the Director of the Secretary and Coordination Team and of the Secretary General.

Article 14

REFERENTS FOR THE SECRETARY AND COORDINATION ACTIVITIES

Given the provision of Art. 14 of Chapter 2 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Referents for the Secretary and Coordination Activities is of Medium Level (B).

The Referents for the Secretary and Coordination Activities have a Medium Level position, as they shall:

  1. maintain contacts with the Director of the Secretary and Coordination Team and with the Vice Director of the Secretary and Coordination Team, while carrying out the tasks provided for in this Regulation as for the secretary and coordination activities of the Association Mondo Internazionale;
  2. act with the approval of the Director of the Secretary and Coordination Team and of the Vice Director of the Secretary and Coordination Team.

Article 15

SECRETARIAT

Given the provision of Art. 15 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Secretariat is of High Level (A).

The Members of Secretariat have a High Level position, as they shall:

  1. maintain contacts with the Secretary General, who coordinates the team;
  2. have access, with the Secretary General’s authorisation, to all the Association’s documents, software and IT and non-IT programs useful for carrying out their activities in member/manager mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. The permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Secretariat’s activities;
  3. act with the Secretary General's approval.

Article 16

TREASURY

Given the provision of Art. 16 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Treasury is of High Level (A).

The Members of the Treasury have a High Level position, as they shall:

  1. maintain contacts with the Steering Committee, which shall be informed of the incomes and outcomes of the Association in order to avoid in the short term the risk of resorting to financing greater than expected. The Members of the Treasury shall also propose and implement the Association's monetary policies, with the approval of the Secretary General and of the President, and define the annual and quarterly financial plans;
  2. have access to all the economic and financial documents, to the bank account and to the IT and non-IT systems related to economic and financial activities of the Association. The Treasury Members can also interact with the credit and financial institutes as well as with the Accountant identified by the Steering Committee;
  3. act with the approval of the Secretary General and of the President of the Association.

Article 17

PLANNING, BUSINESS PLAN AND EURO-PLANNING TEAM

Given the provision of Art. 17 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Planning, Business and Euro Planning Team is of High Level (A).

The Members of the Planning, Business and Euro-Planning Team have a High Level position, as they shall:

  1. maintain contacts with the President, the Vice President and the Secretary General of the Association for the research of public and/or private calls, whether sponsored on a national or European basis, for the financing of the Association’s projects and with the aim of outlining the Association's future strategies;
  2. maintain contacts with national and/or international Agencies for the research of public and/or private calls, whether sponsored on a national or European basis, for the financing of the Association’s projects and with the aim of outlining the Association's future strategies;
  3. have access to all the economic and financial documents useful to draw up the Business Plan;
  4. act with the approval of the President, the Vice President and the General Secretary of the Association.

Article 18

STRATEGIC PLANNING DIRECTOR

Given the provision of Art. 18 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Strategic Planning Director is of High Level (A).

The Strategic Planning Director has a High Level position, as he/she shall:

  1. maintain contact with the Secretary General and the Steering Committee to draw up the Business Plan of the Association as well as of each project of the Association, and to participate to national and international calls;
  2. have access, with the President’s authorisation, to all the Association’s documents, software and IT and non-IT programs useful for carrying out its activities in member/manager mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's activities;
  3. act with the approval of the Secretary General and the President of the Association.

Article 19

VICE DIRECTOR OF THE CONTROL OFFICE

Given the provision of Art. 19 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Director of the Control Office is of High Level (A).

The Vice Director of the Control Office has a High Level positions, as he/she shall:

  1. maintain contacts with the Strategic Planning Director and with the Planning, Business Plan and Euro-Planning Team for searching the calls for the funding of the Association's projects, for the coordination of the creation of new associative projects, for the drawn up of the Business Plan of the Association and of the projects according to the most appropriate form, for the verification of the truthfulness and accuracy of the information inserted in the documents finalised to the research of calls and to the drawing up of the Business Plans;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her own activities in member mode; to the legal and/ore operational headquarters and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's activities;
  3. act with the Strategic Planning Director's approval.

Article 20

VICE STRATEGIC DIRECTOR

Given the provision of Art. 20 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Strategic Director is of High Level (A).

The Vice Strategic Director has a High level position, as he/she shall:

  1. maintain contacts with the Secretary General and the Steering Committee for drawing up the Business Plan of the Association and of each project, as well as for participating in national and international calls;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out its activities in member/manager mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's activities;
  3. act with the Strategic Director's approval.

Article 21

LEGAL CONSULTANCY TEAM

Given the provision of Art. 21 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Legal Consultancy Team is of Medium Level (B).

The Members of the Legal Consultancy Team have a Medium Level position, as they shall:

  1. maintain contacts with the President and Vice President, who shall be advised for the legal representation of the Association, for the actual possibility of implementing the Association’s projects and for possible developments regarding the regulations governing the tertiary sector;
  2. maintain contacts with the Secretary General for the management of the staff and/or of the volunteers, as well as with the Steering Committee for the Association’s national and international activities;
  3. have access to all the necessary documentation to achieve its objectives, subject to the President or Vice President’s approval;
  4. act with the Secretary General's approval.

Article 22

LEGAL ADVISOR

Given the provision of Art. 22 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Legal Adviser is of Medium Level (B).

The Legal Advisor has a Medium Level position, as he/she shall:

  1. maintain direct contacts with the President and the Vice President, who shall be advised for the legal representation of the Association, for the actual possibility of implementing the Association’s projects and for possible developments regarding the regulations governing the tertiary sector;
  2. maintain direct contacts with the Secretary General for the management of the staff and/or of the volunteers, as well as with the Steering Committee for the Association’s national and international activities;
  3. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in member/manager mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's activities;
  4. act with the Secretary General's approval.

Article 23

VICE LEGAL ADVISOR

Given the provision of Art. 23 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Legal Advisor is of Medium Level (B).

The Vice Legal Advisor has a Medium Level position, as he/she shall:

  1. maintain contacts with the Legal Advisor, the President and the Vice President, who shall be advised for the legal representation of the Association, for the actual possibility of implementing the Association’s projects and for possible developments regarding the regulations governing the tertiary sector;
  2. maintain contacts with the Secretary General for the management of the staff and/or of the volunteers, as well as with the Steering Committee for the Association’s national and international activities;
  3. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in member/manager mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters as well as the IT and non-IT systems aimed at carrying out the Association's activities;
  4. act with the Legal Advisor's approval.


Article 24

COMMUNICATION AND WEBMASTER TEAM

Given the provision of Art. 24 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Communication and Webmaster Team is of Medium Level (B).

The Members of the Communication and Webmaster Team have a Medium Level position, as they shall:

  1. maintain contacts with the Steering Committee to set up the communication activities of the Association and to verify its progress in the communication activities as approved by Steering committee;
  2. maintain contacts with the Planning, Business Plan and Euro-Planning Team to plan future developments of the Association; with the Legal Consultancy Team for the full compliance with current information disclosure regulations; and with the Treasury for the allocation of website development funds or the sponsorships;
  3. act with the Director of Communication's approval.

Article 25

DIRECTOR OF COMMUNICATION

Given the provision of Art. 25 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Director of Communication is of Medium Level (B).

The Director of Communication has a Medium Level position, as he/she shall:

  1. maintain contacts with the Vice Director of Communication, with the Webmaster, and with the Steering Committee, which shall be advised for the setting of the communication activities;
  2. maintain contacts with the Planning, Business Plan and Euro-Planning Team for planning future developments of the Association and with the Treasury for the allocation of website development funds or the sponsorships;
  3. have access, with the President’s authorisation, to all the Association’s documents, software and IT and non-IT programs useful for carrying out his/her activities in admin mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters, the IT and non-IT systems aimed at carrying out the Association's activities, as well as the Social Network and communication channels of the Association;
  4. act with the Secretary General's approval.

Article 26

VICE DIRECTOR OF COMMUNICATION

Given the provision of Art. 26 of Chapter 3 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Director of Communication is of Medium Level (B).

The Vice Director of Communication has a Medium Level position, as he/she shall:

  1. maintain contacts with the Director of Communication, with the Webmaster (with the Director of Communication’s delegation), and with the Steering Committee, which shall be advised for the setting up of the communication activities;
  2. maintain contacts with the Planning, Business Plan and Euro-Planning Team to plan the future developments of the Association and with the Treasury for the allocation of website development funds or the sponsorships. The collaborations just mentioned can be implemented only with the delegation of the Director of Communication;
  3. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out its activities in admin mode; to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for carrying out the Association’s activities. Permanently allowed accesses include all the documents at the legal and/or operational headquarters, the IT and non-IT systems aimed at carrying out of the Association's activities, as well as the Social Network and communication channels of the Association;
  4. act with approval of the Director of Communication.

Article 27

BOARD OF TRUSTEES

Given the provision of Art. 28 of Chapter 4 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Board of Trustees is of High Level (A).

The Members of the Board of Trustees have a High Level position, as they shall:

  1. maintain contacts with the President of the Association, who carries out, if necessary, the implementation of their measures and who participates to the meetings of the Board of Trustees;
  2. act independently and autonomously.

Article 28

BOARD OF AUDITORS

Given the provision of Art. 29 of Chapter 5 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Board of Auditors is of Medium Level (B).

The Members of the Board of Auditors have a Medium Level position, as they shall:

  1. maintain contacts with the Treasurer so to control over the Association's accounts and budgets;
  2. have access to the records, expenses and revenue of the Association's central bodies in relation to the budget and the deliberative compliance as well as to the acknowledgment of all the accounting documents, in collaboration with the Treasury;
  3. act autonomously.

Article 29

INTERNATIONAL STEERING COMMITTEE

Given the provision of Art. 30 of Chapter 6 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the International Steering Committee is of High Level (A).

The International Steering Committee has a High Level position, as it shall:

  1. maintain contacts with the Steering Committee and the Presidents of the National Associations;
  2. have access to any document of the Association, with the approval of the President of Mondo Internazionale;
  3. act autonomously.

Article 30

PROOFREADING TEAM

Given the provision of Art. 36 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Proofreading Team is of Medium Level (B).

The Members of the Proofreading Team have a Medium Level position, as they shall:

  1. maintain contacts with the Editor in Chief and with the Social Media Team for the content and publication management;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the Association's activities, as well as the Social Network and communication channels of the Association.
  3. act with Editor in Chief's approval.

Article 32

TRANSLATION TEAM

Given the provision of Art. 37 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Translation Team is of Medium Level (B).

The Members of the Translation Team have a Medium Level position, as they shall:

  1. maintain contacts with the General Director, who manages the team;
  2. maintain contacts with the Director of the Translation Team, who coordinates the team;
  3. act with the Director of the Translation Team's approval.

Article 33

DIRECTOR OF THE TRANSLATION TEAM

Given the provision of Art. 38 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Director of the Translation Team is of Medium Level (B).

The Director of the Translation Team has a Medium Level position, as he/she shall:

  1. maintain contacts with the Vice Director of Translation Team and with the Chief Operation Officer, with the aim of translating all the public contents as well as the Association’s documents;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of the Association;
  3. act with the Chief Operation Officer's approval.

Article 34

VICE DIRECTOR OF THE TRANSLATION TEAM

Given the provision of Art. 39 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Vice Director of the Translation Team is of Medium Level (B).

The Vice Director of the Translation Team has a Medium Level position, as he/she shall:

  1. maintain contacts with the Director of the Translation Team and with the Chief Operation Officer, with the aim of translating all the public contents and the Association’s documents;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the Director of the Translation Team's approval.

Article 35

SOCIAL MEDIA TEAM

Given the provision of Art. 40 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Social Media Team is of Medium Level (B).

The Members of the Social Media Team have a Medium Level position, as they shall:

  1. maintain contacts with the Communication Team and with the External Relations Team to plan an effective sharing activity of the Association’s contents;
  2. have access to all the Social Media Accounts such as Facebook, Instagram, Twitter and LinkedIn, as well as to any other Social Network available to promote and spread the activities of the Association in Italy and abroad, with the purpose of expanding the membership and the resonance of the Association’s aims and objectives.
  3. act with the Chief Operation Officer's approval.


Article 36

SOCIAL MEDIA MANAGER

Given the provision of Art. 41 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Social Media Manager is of Medium Level (B).

The Social Media Manager has a Medium Level position, as he/she shall:

  1. maintain contacts with the Communication Team and with the External Relations Team to plan an effective sharing activity of the Association’s contents;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the Chief Operation Officer's approval.

Article 37

SOCIAL MEDIA MANAGER FOR FACEBOOK, INSTAGRAM, LINKEDIN AND TWITTER

Given the provision of Art. 42 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Social Media Manager for Facebook, Instagram, LinkedIn, Twitter is of Medium Level (B).

The Social Media Manager for Facebook, Instagram, LinkedIn, Twitter has a Medium Level position, as he/she shall:

  1. maintain contacts with the Communication Team and with the External Relations Team to plan an effective sharing activity of the Association’s contents;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out his/her activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the Chief Operation Officer's approval.

Article 38

SPONSORSHIP AND MERCHANDISING TEAM

Given the provision of Art. 43 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Sponsorship and Merchandising Team is of Medium Level (B).

The Members of the Sponsorship and Merchandising Team have a Medium Level position, as they shall:

  1. maintain contacts with the Sponsorship and Merchandising Manager and with the Secretary General for the coordination of the team;
  2. maintain contacts with the Communication Team and with the External Relations Team to plan an effective sponsorship activity for the Association;
  3. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  4. act with the Secretary General's approval.

Article 39

AUTHORS TEAM

Given the provision of Art. 44 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Authors Team is of Low Level (C).

The Members of the Authors Team have a Low Level position, as they shall:

  1. maintain contacts with Editor in Chief and with the Chief Operation Officer for the coordination of the team;
  2. maintain contacts with the Vice Project Managers to plan an effective content creation activity of the Association;
  3. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  4. act with the Chief Operation Officer's approval.

Article 40

INTERNATIONAL COOPERATION TEAM

Given the provision of Art. 45 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the International Cooperation Team is of Medium Level (B).

The Members of the International Cooperation Team have a Medium Level position, as they shall:

  1. maintain contacts with the Internationalisation Manager, with the General Director and with the Secretary General for the team coordination and management;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the approval of the General Director and of the Secretary General.

Article 41

HUMAN RESOURCES TEAM

Given the provision of Art. 46 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Human Resources Team is of Medium Level (B).

The Members of the Human Resources Team have a Medium Level position, as they shall:

  1. collaborate with the General Director, who shall be advised on the staff management for opening of new national and international headquarters, as well as with the entire Association;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the General Director's approval.

Article 42

SECTORAL LOGISTIC AGREEMENTS TEAM

Given the provision of Art. 46 of Chapter 7 in the Regulation, approved on 4 September 2019, the confidentiality of all the activities of the Sectorial and Logistic Agreements Team is of Medium Level (B).

The Members of Sectorial and Logistic Agreement Team have a Medium Level position, as they shall:

  1. maintain contacts with the General Director for the coordination and the management of the drafting of agreements with third parties, which will concern both national and international projects of the Association, and for the organisation of events regarding national and international activities;
  2. have access, with the President’s authorisation, to all the Association’s documents, software, IT and non-IT programs useful for carrying out their activities in admin mode. Permanently allowed accesses include the IT and non-IT systems aimed at carrying out the activities of the Association, as well as the Social Network and communication channels of Association;
  3. act with the General Director's approval.

CHAPTER 3

FURTHER PROVISIONS

  1. All the information, activities, and strategies with which each Associate comes to contact cannot be externally disclosed or replicated.
  2. Each Member is required to comply with the Statute, the Regulation and the deliberations of the Association’s organs, which have been set up for the performance of the Association’s activities.
  3. The violations of the Statute, of the Regulation and of the deliberations of the Association’s organs will be pursued in the appropriate venues.
  4. If an Associate Member is unable to carry out his/her own activities, which he/she freely accepted, according to the provisions of the Regulation, then he/she is required to identify a replacement and/or to complete the activity for the purpose not to hinder the Association’s activities, except in exceptional cases identified by Steering Committee.
  5. For the positions of category A and B, the Steering Committee avails itself of the possibility of selecting the persons who will comply with the confidentiality requirements indicated herein, so that the Association's interests can be protected.
